When booking or participating in any tour, including associated products or services, with Cusco Discovery by Travel on Green (“CDT” or the “Tour Operator”), you are consenting to the following Terms & Conditions (“Terms”). These Terms constitute a legally binding agreement between you and CDT, aimed at ensuring the smooth operation of your tour and the satisfaction of all involved parties.
It is essential to review and comprehend these Terms before booking or participating in any tour with CDT. They contain critical information regarding payment policies, cancellation and refund procedures, health and safety requirements, and other important considerations.
By accepting these Terms, you acknowledge that you have read and understood all provided information, and agree to comply with all applicable policies and regulations. At Cusco Discovery by Travel on Green, we are dedicated to delivering an exceptional tour experience, and we eagerly anticipate welcoming you on one of our tours soon.
RESERVATIONS
When you make a tour booking with Cusco Discovery by Travel on Green and submit the required deposit, a contractual agreement is established, confirming your booking. It is essential to carefully review your booking confirmation for any inaccuracies or omissions and promptly inform Cusco Discovery or the authorized agent if any corrections are needed.
To facilitate a seamless journey, it is vital to ensure that the names on your booking exactly match those on your passport. Additionally, please be aware that the deposit is entirely non-refundable under any circumstances, and no exceptions can be accommodated.
To access to Machu Picchu, you must present the original passport used for booking. If you have renewed your passport since booking, you must carry both the expired passport and the new, valid passport for entry. Failure to provide the necessary documentation may result in denial of entry.
If you qualify for a student discount, the only accepted form of identification is a University Card with a clearly visible expiration date corresponding to the year of your trek. ID cards with expiration dates in the subsequent year, even if still valid, will not be accepted by the Peruvian authorities. You must present a copy of this card at the time of booking.
At Cusco Discovery by Travel on Green, our goal is to enhance your travel experience. By adhering to these guidelines, you can contribute to a smooth and successful trip.
CANCELLATIONS
At Cusco Discovery by Travel on Green, we recognize that unforeseen circumstances may arise that require you to cancel your tour. Unfortunately, we must inform you that your deposit is fully non-refundable, and we are unable to make any exceptions to this policy.
Please note that if you cancel your tour close to the start date, there may be additional costs incurred. This is because the expenses we incur in preparing for your tour are non-refundable, and it is essential for us to cover these costs.
We understand that clients may face cancellations due to medical reasons or other unexpected events. However, we must emphasize that we cannot accept medical notes or any other documentation as grounds for exceptions to our cancellation policy.
Our cancellation policy is designed to ensure that all aspects of your tour are meticulously planned and executed to provide you with a superior experience. We appreciate your understanding in this matter.
AGREEMENT LETTER
By signing this agreement letter, I acknowledge that adventure tours carry inherent risks and hazards, including those associated with traveling in mountainous terrain, remote locations lacking medical facilities, and exposure to natural forces. I accept full responsibility for all risks associated with the tour and understand that Cusco Discovery by Travel on Green, its employees, or agents will not be liable for any injuries, illnesses, damages, or losses that may occur during the tour.
I am aware that delays or alterations to the itinerary may happen due to unforeseen circumstances such as weather conditions, accidents, or acts of nature, and I understand that the Tour Operator retains the right to adjust or cancel travel arrangements as necessary for the well-being of the customers.
I agree to honor the customs of local communities and respect the wildlife in the areas we will visit, prioritizing the safety of the group. Furthermore, I confirm that I do not have any physical or psychological conditions that could jeopardize the well-being of other participants during the tour.
By agreeing to this contract, I confirm that I have reviewed and comprehended the information provided during the briefing and commit to following the guide’s instructions. I understand that Cusco Discovery by Travel on Green cannot be held accountable for any lost or abandoned belongings.
Please be aware that once your booking with Cusco Discovery by Travel on Green is confirmed, deposits become non-refundable. If you find it necessary to cancel your tour, refer to the chart below for details on the applicable fees according to our cancellation policy:
- If you cancel your tour within 72 hours of your start date, 60% of your total tour cost will be payable.
- If you cancel your tour within 48 hours of your start date, 80% of your total tour cost will be payable.
- If you cancel your tour within 24 hours of your trek, 100% of your total tour cost will be payable.
- We understand that unexpected circumstances may arise that require you to cancel your tour, and we apologize for any inconvenience this may cause. However, please understand that our cancellation policy is designed to ensure equitable treatment for all parties involved and to cover any expenses incurred by the tour operator.
We recommend that you carefully review our cancellation policy before finalizing your booking with Cusco Discovery by Travel on Green to ensure that you fully understand and are comfortable with these terms. MACHU PICCHU TICKETS AND PERMITS
Please be aware that Inca Trail permits and Machu Picchu tickets are issued under your name and cannot be transferred to another individual under any circumstances. Once a permit is purchased, the dates cannot be changed, and the permit is non-refundable and non-transferable. If you cancel your trek, the deposit will be forfeited. It’s important to note that this regulation is mandated by the Peruvian government and is not a policy established by Cusco Discovery by Travel on Green or any agency.
At Cusco Discovery by Travel on Green, we aim to make your trek as enjoyable and stress-free as possible. Please review this information carefully, and feel free to contact us if you have any additional questions or concerns.
MEDICAL INFORMATION
- You are required to inform Cusco Discovery by Travel on Green of any medical conditions or allergies you may have. It’s important to be in good physical health for the tour, and if you have any health concerns, it’s advisable to consult with a doctor. If you are over 70 years old, you will need to provide a current medical certificate confirming good health.
- It is your responsibility to determine whether a tour is suitable for you. We recommend consulting your physician to confirm your fitness for travel and participation in planned activities, as well as to discuss vaccinations and medical precautions. The Tour Operator does not offer medical advice. You must assess the risks and requirements of the tour based on your own circumstances, limitations, fitness level, and medical needs.
- Cusco Discovery by Travel on Green reserves the right to deny permission for travel or participation in any part of the tour if it is determined that your physical or mental condition makes you unfit for travel or poses a risk to yourself or others.
- Pregnancy is considered a medical condition and must be disclosed to the Tour Operator at the time of booking. The Tour Operator may refuse to carry pregnant women beyond 24 weeks or individuals with certain medical conditions if suitable accommodations or alternatives cannot be arranged.
- We strongly recommend purchasing Travel Insurance to provide coverage in the event of a medical emergency or tour cancellations.
TOURS AND TREKS
- All remaining payments must be settled in cash, Visa debit or credit card, or PayPal (in full) before the briefing scheduled for the night prior to your tour. Visa payments will incur a 6% service fee, and if you prefer to use another card, it must be processed through PayPal, incurring a 5.5% service fee.
- If you intend to leave the group or camping area for independent walks or sightseeing, please inform your guide. Any issues with the guide’s services or the tour should be promptly addressed with the guide to ensure timely resolution.
- All Adventure Treks include transportation to Cusco. The return train route is subject to train availability.
- In the event that you fall ill or sustain an injury on the trail and are unable to continue, a porter will accompany you back to an area with emergency assistance. Costs associated with helicopter air lifts or medical assistance will be borne by the trekker. If illness prevents you from completing the tour, we will assist you in rejoining your group at Machu Picchu. However, there will be no refund of the original payment. We will provide a certified illness document for submission to your travel insurance.
- Cusco Discovery by Travel on Green takes reasonable care to prevent accidents, illnesses, and loss of personal belongings for our clients and employs suitably qualified staff. We accept responsibility for the actions of our employees. However, we cannot be held responsible for actions by third parties. Clients are responsible for their personal belongings and any rented equipment.
- We do not assume liability for unfavorable weather conditions, natural disasters, strikes, accidents, illness, injury, loss of personal items, etc. Clients are advised to obtain insurance coverage for these potential events. We reserve the right to adjust or cancel the program due to any unforeseen circumstances as listed above.
- Cusco Discovery by Travel on Green reserves the right to modify your itinerary as reasonably necessary at our discretion.
- Group tours may accommodate up to 16 participants and are open to individuals of all skill levels and ages. By participating in a Group Tour, you acknowledge that the tour’s pace and schedule may be influenced by others.
- All tours are conducted in English.
